Patient Staffing Coordinator - Full Time - Days

Job Summary

The Patient Staffing Coordinator plays a crucial role in ensuring the efficient staffing of various units within the hospital. Using computer-based staffing software, develops schedules for nurses, aides or other patient care providers. Receives and coordinates requests for time off. Monitors clock-in/clock-out activities, notifies management of absences, and prepares and transmits information for payroll. Contacts employees to arrange to coverage. Adjusts daily staffing levels as needed.

Core Job Responsibilities

  • Staffing Coordination: Makes complex decisions to facilitate the assignment of qualified healthcare employees to meet the staffing needs of various units within the hospital. Collaborates with unit managers and supervisors.

  • Maintain Staffing Records: Keep accurate records of staffing assignments, scheduling, and changes. Ensure that records are up-to-date and easily accessible for reference.

  • Payroll Processing: Take responsibility for processing payroll for designated units, ensuring that payroll is accurate, timely, and complies with all relevant regulations and policies.

  • Compliance: Stay up-to-date with hospital policies, labor laws, and regulations related to staffing and payroll. Ensure that all staffing and payroll practices adhere to these guidelines.

  • Communication: Serve as a point of contact for staffing-related inquiries, issues, and concerns. Communicate effectively with unit managers, supervisors, and personnel to address staffing needs and resolve any scheduling conflicts.

  • Reporting: Generate reports related to staffing, scheduling, and payroll as needed. Provide regular updates to the Lead Hospital Supervisor on staffing metrics and issues.

  • Quality Assurance: Monitor the accuracy and integrity of staffing and payroll data, proactively identifying and rectifying discrepancies or errors.

  • Training and Onboarding: Assist in the training and onboarding of new employees on staffing and payroll processes and procedures.

  • Perform related duties as assigned.

Education/Experience Requirements

REQUIRED:

  • Associate’s degree with a minimum of three years of administrative or health care related experience, or an equivalent combination of education and experience.

  • Detail-oriented, organized, and capable of working effectively in a fast-paced healthcare environment.

  • Proficiency in computer applications, including spreadsheet software (e.g., Microsoft Excel) and scheduling software.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Ability to work 12 hour shifts with rotating weekends.

PREFERRED:

  • Prior experience in staffing and scheduling in a health care setting.

  • Knowledge of healthcare regulations and labor laws is a plus.
