Job Summary

The Procurement Agent is responsible for ensuring that supplier data is accurate, up to date, and in compliance with Institute policies. The Agent assists with evaluating and negotiating small dollar procurements, consistent with Rensselaer policies. Under the supervision of the Associate Director of Procurement, the Agent works closely with E-Business prioritizing master agreements, supplier enablement, and other contract opportunities. In collaboration with other areas in the Controller’s Office, facilitates encumbrance releases and develops training materials and programs focused on compliance with policies and procedures.

Minimum Qualifications

  • Associate’s Degree or equivalent combination of education or experience.

  • Minimum of two (2) years of progressively responsible business experience is required.

  • Experience with supplier management is highly desirable, as is previous experience in information systems.

A relevant combination of education, directly related experience and training may be substituted for a degree.

  • Demonstrated proficiency with personal computers and use of several software applications (Integrated ERP system, Word, Excel, data base applications such as Access, PowerPoint, and Internet).

Job Duties

  • Facilitates the timely collection of supplier insurance information during the supplier on-boarding process. Assists the Strategic Sourcing Managers (SSMs), in partnership with E-Business, to ensure supplier information is accurately reflected in Banner and Procure-to-Pay (P2P) systems.

  • Assists the Sourcing Agent in processing, negotiating, and vetting small dollar (less than $5,000) requisitions of essential goods and services for the Institute’s departments.

  • Assists the Procurement and E-Business teams with prioritizing master agreements, supplier enablement, and other contract opportunities based on small dollar spend, transaction analysis, and end user need.

  • Monitors campus purchasing activities for compliance with Institute policies and supplier contracts requirements. Addresses any concerns of non-compliance with the Associate Director of Procurement and educates end-users on the corrective action required.

  • Facilitates the release of procurement encumbrances in Banner, working in collaboration with campus users and SSM’s.

  • Assists with the development of training materials and programs focused on policies and procedures in those areas in collaboration with Procurement Services and E-Business. Provides campus end users with an understanding of preferred suppliers within commodity groups to ensure a streamlined buying process. Assists in rolling out and providing ongoing training to campus constituents. Attends and provides support at monthly office hour sessions.

  • Perform other duties as assigned.

Starting Salary/Rate

Expected hiring range: $58,000 - 60,000

This hiring range is provided as Rensselaer’s good faith estimate of the expected hiring range at the time of posting.
