Bachelor's degree (foreign equivalent or higher). Two (2) years of directly related full-time administrative experience. Experience with Microsoft Office Suite and/or Google Workspace.Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher) in Business Administration, Finance, Marketing, Journalism, or related field. Experience in an institution of Higher Education. Experience working with a diverse population of students, staff, and other stakeholders. Event planning experience. Project management experience. Experience with Stony Brook systems (e.g. PeopleSoft, SMRT, Oracle, TMS, WolfMart). Working knowledge of SUNY State, budget, personnel, and/or purchasing policies and procedures. Budget management experience. Experience liaising with human resources.Brief Description of Duties:
The Administrative Coordinator provides direct administrative support to the Assistant Vice President for Campus Residences and supports a variety of operational and administrative functions on behalf of the residential areas. As the first-level liaisons on behalf of the Assistant Vice President of Campus Residences, the selected applicant needs to have a firm grasp of the goals, needs and challenges of a residential operation to effectively coordinate all administrative functions, ensuring the safe and effective operation of the program. The successful incumbent must be able to respond to urgent and emergency situations involving students and parents with excellent customer service and interpersonal skills, exercising strong organizational and time management capabilities. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.

  • Administration:
    • Provide daily and long-range analytical and administrative support to the Assistant Vice President on a variety of Division-wide issues, projects, and programs. Act as point person for all staff who support the Assistant Vice President. Coordinate office workflow, communications, processes, and procedures for all work done in direct support of the AVP. This includes scheduling meetings, arranging travel, and determining priorities as they relate to managing the Assistant Vice President's calendar and time. Record, file and/or forward as appropriate all incoming internal and external paperwork, emails, and telephone calls in a prompt and professional manner. Develop responses for Assistant Vice President's signature and draft correspondences on behalf of the Assistant Vice President as requested. Ensure all the Assistant Vice President's files are accurate and up to date. Research, analyze and prepare material for the Assistant Vice President in relation to meetings, activities, reports, inquiries, agendas, and presentations. As needed, assist in coordinating meeting logistics including planning the agenda, coordinating any catering or A/V needs, identifying appropriate participants, and taking meeting minutes. Serve as liaison for the Assistant Vice President with senior leadership, support staff, faculty, students, visitors, and others within and outside of the university. Interpret and/or investigate campus guidelines, policies, and procedures; resolve routine discrepancies.
  • Project and Event Planning:
    • Provide program planning and operational support for division-wide initiatives and events. Compile data, solicit and research information from a variety of sources both on and off campus, and prepare reports as requested. Additional procurement responsibilities include performing routine monthly reconciliation and analysis for internal and external purposes.
  • Professional Development and Committee Involvement:
    • Participate in opportunities that promote your learning, growth, and development (i.e. classes, training, committee, webinar, etc.). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.). Other duties or projects assigned as appropriate to rank and departmental mission. Evening and weekend work may be required at times.

Special Notes:
This is a full-time appointment.
