University of Rochester Administrative Coordinator III in Rochester, New York

POSITION SUMMARY

Coordinates functions associated with patient information processing for ambulatory care visits. Monitors and ensures that functions are completed in an accurate, efficient and customer-friendly manner. Prepares Workers’ Compensation records for injury billing.

SUPERVISION AND DIRECTION EXERCISED

Responsible for monitoring own performance on assigned tasks. Self-directed, must make complex decisions independently.

MACHINES AND EQUIPMENT USED

Standard office equipment including, but not limited to, telephone, fax machine, scanner, copiers, personal computers, printers, and confidential recycle bin.

TYPICAL DUTIES

  1. Workers’ Compensation Referrals
  • Obtain authorization, scheduling, eRecord Registrations

  • Workers’ Compensation record requests

  • Submits Workers’ compensation referral & obtains authorizations for specialty testing & rehab. therapies

  • Follow-up with attorneys and specialists

  • Train other staff on Workers’ Compensation processes

  • Complete Workers’ Comp Charge Entry in eRecord for all Workers’ Comp visits, and then submit the WC visit online to the NYS Workers’ Compensation Board.

  • Schedule Workers’ Compensation Permanency evaluations with EH Provider.

  • Complete the Workers’ Compensation online required paperwork for WC Permanency appointments.

  1. Check-In / Check-Out / Appointment Scheduling
  • Answering Phones for Affiliates and for Employee Health phone lines – triaging accurately and timely.

  • Setting up the Sign-Up Genius for Affiliate appointments, Nursing Recruitment & HR

  • Prepares required documents for SMH & UR Affiliates onboarding of new hires

  • Registers patient in hospital information system

  • Schedule follow up appointments

  • Scans visit documents into EMR

  • Prints and distributes next day appointment schedules to providers and clinic areas

  • Utilizes professional telephone skills for accurate appointment scheduling and friendly customer service

  • Provides coverage for check-in and check-out as assigned

  1. Performance Analysis
  • Attention to detail for accuracy and efficiency

  • Reconcile daily clinic visits.

  • Completes missing registration data

  • Ensures accuracy of patient schedules

  1. Other Clerical Duties
  • Prepares clearance reports for HR & Nsg for new hires

  • Performs miscellaneous tasks as assigned by the Supervisor such as medical records management, supplies invoices, maintains logs and simple statistics.

  • Generate surveillance reports for department contacts

  • Prepares non-negative drug screen (DS) results for Medical Review Officer (MRO)

  • Submits negative DS results to Designated Employer Representative (DER).

  • Adheres to departmental medical and company protocols, drug screen and breath alcohol testing procedures

  • Provides work direction to lower-level support employees

QUALIFICATIONS

High School diploma and 2 years related work experience, or an equivalent combination of education and experience. Medical terminology experience required. Demonstrates ability to type accurately on office equipment. Demonstrates customer relations skills.

Pay Range

Pay Range: $18.10 - $25.35 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
