We are seeking an experienced and detail-oriented individual to join our team as a Shipping Coordinator. The ideal candidate will have a background in shipping, logistics, warehousing, or a related field, along with proficiency in computer operations and a strong organizational skill set. Flexibility is essential for this role, as it involves various tasks within the facility, including order fulfillment, data entry, and troubleshooting. Overseeing and implementing shipping strategies for all types of shipments, including domestic, international, and parcel through LTL (Less Than Truckload) carriers, while acting as the main point of contact for internal teams and shipping carriers regarding shipping-related inquiries, updates, and issues. Constructing and preparing truck shipments using powered industrial lift trucks and packaging/wrapping machinery, while also preparing and maintaining accurate shipping documents, including tracking information and shipping manifests, to ensure stakeholders receive delivery confirmations. Additionally, working alongside the Warehouse Supervisor to optimize internal driver resources by developing a forward-looking planner. Essential Duties and Responsibilities *Process Shipments: Manage both domestic and international shipments through designated carriers, including coordinating truckload and Less Than Truckload (LTL) shipments, and prepare all necessary documentation. *Monitor Shipments: Track shipments for milestone checkpoints and coordinate with facilities, customers, and service providers to meet deadlines and prevent additional costs. Address delays internally and externally as needed. *Prepare Truck Shipments: Build and prepare truck shipments using powered industrial lift trucks and packaging/wrapping machinery to ensure safe and secure transportation. *Customer Communication: Act as the primary point of contact for internal teams and shipping carriers regarding shipping-related inquiries, updates, and issues, ensuring clear and timely communication. *Maintain Shipping Documents: Prepare and maintain accurate shipping documents, including tracking information, shipping manifests, and delivery confirmations, to ensure proper documentation and record-keeping. *Ensure Compliance: Ensure compliance with shipping regulations and requirements, including hazardous materials handling, customs documentation, and safety regulations, to mitigate risks and maintain regulatory compliance. *Issue Resolution: Identify, prioritize, and resolve shipping-related issues such as delivery delays, damaged shipments, or incorrect orders in a timely and effective manner to minimize disruptions and ensure customer satisfaction. *Internal Customer Service: Provide excellent internal customer service by addressing inquiries, tracking shipments, and resolving shipping-related issues promptly to ensure a positive customer experience. *Policy Adherence: Adhere to company policies and procedures related to shipping operations, maintaining consistency and compliance across all activities. *Order Coordination: Plan and coordinate order shipments, including packing, arranging transportation, scheduling pickups, and preparing shipping documentation such as bills of lading and shipping labels, to facilitate smooth order fulfillment processes. *Driver Planning: Perform daily route planning for internal drivers to meet timelines and optimize resource utilization, ensuring efficient and timely delivery of shipments. *Equipmen Operation: Operate forklifts, skid steers, and manual pallet jacks for loading/unloading trailers and warehouse tasks, prioritizing safety and efficiency in equipment operation. *Process Improvement: Seek and implement process improvements to enhance quality and productivity in shipping operations, contributing to overall operational efficiency and customer satisfaction. *Workplace Organization: Maintain cleanliness and organization in the work area, participating in 5S workplace organizational activities to promote a safe and efficient work environment. *Team Collaboration: Communicate effectively with team members to ensure a seamless customer experience, collaborating with coworkers and supervisors to address delivery issues and coordinate with technical support when necessary. *Regulatory Compliance: Ensure compliance with shipping regulations and safety standards, staying informed of updates and changes to regulations to maintain best practices and mitigate risks. *Issue Resolution: Identify and resolve shipping-related issues in a timely manner to ensure customer satisfaction and maintain positive relationships with clients and partners. Experience and Education *High school diploma or GED required *Previous experience in logistics coordination or a related field is preferred. *Strong attention to detail and accuracy in handling inventory and shipments. *Ability to work independently and within a team, with excellent interpersonal and communication skills. *Proficiency in multitasking and prioritizing tasks to meet project deadlines. *Familiarity with logistics software and systems is an advantage. *Physical fitness to perform loading and unloading tasks, with the ability to lift and carry heavy objects. *Flexibility to adapt to changing project requirements and work schedules.
