POSITION DETAILS

The Office of Public Safety is seeking a highly organized and detailed oriented Administrative Coordinator to join our team. The successful candidate will report to the Director of Public Safety, and will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks including managing schedules, coordinating meeting and appointments, preparing reports and maintaining a filing system.

Responsibilities include but are not limited to:

• Serving Public Safety’s main receptionist by greeting and providing service to students, faculty and other CUNY employees while assisting the coordination and daily operation of the office and its staff in accordance with the Director of Public Safety.

• Manage inventory of office supplies; purchase supplies and equipment when needed utilizing CUNYBuy procurement system.

• Provides information, instructions, and materials as requested by students, faculty, and others who contacts the department.

• Using the CUNYfirst system for student, faculty and staff verification.

• Using the IDMS system to create ID cards and replacement. Implementing instructions for new employees on key request, online ID photo, regular ID processes and administering IDs.

• Receiving, conducting, and directing all the necessary correspondence as instructed by supervision.

• Answering inquiries over the telephone, screening and directing calls.

• Scheduling group and/or individual meetings with Divisional Units and other college personnel and providing notification to all members of the time and location of each meeting, distributing the agenda, minutes and/or attendance roster.

• Update and maintain office policies and procedures.

• Proofreading, filing, timekeeping, record keeping and overseeing the day to day office requirements.

• May supervise a clerical support staff.

QUALIFICATIONS

  • Bachelor's Degree required

  • Proficient in MS Office

  • Strong organizational and time management skills

  • Excellent written and verbal communication skills

  • Attention to detail and problem-solving skillsPreferred Qualification:

  • Knowledge of CUNYbuy Procurement System

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.

Salary commensurate with education and experience. $54,268 - $60,394
