Our Human Resources team is growing and seeking to hire an Onboarding Coordinator to join the Talent Acquisition team! This is an exciting opportunity for someone who is interested in starting their career in Human Resources and passionate about Recruitment.

The Onboarding Coordinator is an important part of the Talent Acquisition Team. The Onboarding Coordinator is responsible for completing the administrative functions associated with the recruitment and onboarding of new employees at Albany Medical Center.

Duties and Responsibilities include:

  • Coordinate the onboarding and clearance process for new hires within designated groups including Sterling clearances, Workday onboarding, and all other necessary clearances.

  • Coordinate onsite appointments as needed, following up with new hires as needed and relays updates to team as necessary.

  • Serve as the primary contact for the Talent Acquisition phone line and email inbox, responding to or relaying calls and messages timely. Follow-up on issues that remain outstanding and collaborating with other subject matter experts as needed.

  • Prepare offer letters/contingent offer letter of employment for candidates as requested by Recruiters.

  • Complete the hiring process of new hires and internal transfers.

  • Update Workday and trackers accordingly when start dates are adjusted or offers/acceptances are rescinded ensuring all necessary stakeholders are kept current on updates.

  • Submit Service Now for new hires/travelers in advance of start date and effectively communicates updates in process to all relevant parties.

  • Assist with the scheduling of interviews with hiring manager and interview teams.

  • Run ad hoc reports and complete ad hoc projects for the team as needed.

  • Creates and maintains an accurate list of new hires and shares with relevant stakeholders within the organization. Makes updates to the list based on adjusted start dates of new hire dates or rescinded offers or acceptances and communicates appropriate updates to relevant stakeholders

  • Maintain ongoing tracker of attendees from each recruitment event and update status as changes occur

  • Additional duties as assigned

Minimum Qualifications:

  • Bachelor's degree in Human Resources or related field is required.

  • Minimum of 1-2 years of experience in an office setting, ideally within HR/Talent Acquisition is highly desired.

  • Proven critical thinking ability and the capability to prioritize as needed

  • Ability to handle multiple projects at the same time and work both independently and with teams in a fast-paced environment

  • Exhibit professionalism and unquestionable integrity with a strong work ethic and a passion our work and the Albany Med mission

  • Demonstrated ability to handle sensitive information in a highly confidential manner

  • Ability to establish and maintain positive relationships and communications with staff at all levels of the organization, and participate effectively in meetings
